Managing email distribution can be a complex task, especially when users choose to opt-out of receiving marketing emails. Affiliation codes can be created to help facilitate email lists and to ensure that each profile is receiving the correct communications that they have opted to receive.
Creating Email Lists from Affiliation Codes
- Create the affiliation code(s) associated with specific email lists that need to be managed, such as Newsletters, Legal Updates, Promotions, etc.
When creating affiliation codes, create Affiliation Types first to sort and organise the codes. If affiliation codes for email lists have already been created, the affiliation type can be edited.- Click Here for more information on creating Affiliation Codes.
- Curate the recipients to compile the different email lists within affiliation codes. There are various automatic or manual tools to help curate these lists. Or, apply the affiliation codes to profiles individually.

- Add Affiliation Codes to membership levels, so when a profile joins as a member at a specific level, or changes their membership level, the designated Affiliation Codes will be added to their profile.
To allow members to opt in or out of these code lists via the member portal, check the Affiliation Code's "Show in Members Only" box. This is not required, as lists can also be managed by internal staff.

- Inform members on managing their subscriptions via the member portal. Members can select their own email preferences within the member portal.
Unsubscribing opts members out of all marketing communication. Allowing them to manage preferences list-by-list in the member portal, rather than having to fully unsubscribe, is helpful for staying connected.- Click Here to learn more about managing Affiliation Codes.
Once these codes are created and assigned to profiles, lists for each code can be pulled using the Query Tool or the Profile Selector. Once the list has been pulled in either search tool, it can be exported to the email builder to send an email to the selected list.
Unsubscribing and Email Opt-In
The Enable opt-Out by Default email setting controls whether new profiles start as opted-out of marketing communications and must opt-in manually.
Every email sent from MC Trade automatically includes an unsubscribe link at the bottom that leads users through the process of opting out of marketing emails. This will not remove Affiliation Codes from their profile, but will flag them as "Do Not Email".
Notification emails will be sent to the assigned admin when users choose to opt-out of marketing emails.
This feature replaces the Do Not Email checkbox option in the back office, and can still be overridden to email those profiles anyway. However, to comply with data privacy regulations and marketing consent laws, admins are advised not to override the opt-out unless it's to send transactional emails such as renewal reminders.
When enabled, new profiles will have their email subscription status set to opted out. Profiles will still receive automated transactional emails, such as receipts and membership confirmations, but will be excluded from all other emails and messages by default.
The following emails will still be sent to users even if the opt-out feature is enabled, or if the user manually opts out of marketing emails:
- Member password reset emails
- Profile change request emails
- Event registration emails
- Invoice/Ecommerce payment receipt emails
- Form submission emails
- Event reminders
