Using the Message Admin Tool

Introduction

Click on the Communication menu and Message Admin.

On the left, notice there are five tabs:

  • Analytics: View message-wide analytics.
  • Drafts: Open a saved draft and pick up where you left off.
  • Recurring: Manage recurring messages.
  • Scheduled: Manage scheduled messages.
  • Sent: View a list of sent messages and view message details.

Viewing Analytics for All Messages

From the Analytics tab, you will see analytics for all emails such as the number of emails sent or the number of emails opened. Click here for more information,

Managing Drafts

From the Drafts tab, you can see a list of all saved drafts).

If you need to filter it down (by date created), define a date range at the top, and click the Search button. If you need to start from scratch (to view all drafts again), click the New button.

The subject of the draft, the date it was created, the from email address, and the count (number of recipients) will be reflected.

Three buttons will appear to the right of each draft:

Copy: Click the first button to pick up where you left off, but with a copy.

Edit: Click the second button to pick up where you left off.

Delete: Click the third button to delete the draft.

Managing Recurring Messages

From the Recurring tab, you can see a list of all recurring messages.

The subject of the message, the date it was created, the from email address, the recurrence details, and the count (number of recipients) will be reflected.

Three buttons will appear to the right of each message:

Copy: Click the first button to edit a copy of the message.

Edit: Click the second button to edit the message.

Delete: Click the third button to delete the message.

Managing Scheduled Messages

From the Scheduled tab, you can see a list of all scheduled messages (scheduled to be sent once).

It will reflect the subject of the message, the date and time it will be sent, the from email address, the count (number of recipients), and a checkbox if the message has already been sent.

Three buttons will appear to the right of each message:

Copy: Click the first button to edit a copy of the message.

Edit: Click the second button to edit the message.

Clicking this button or the email subject allows you to edit the subject, message, and send options. You may not edit the recipients or special field alternative values.

Delete: Click the third button to delete the message.

Viewing Sent Messages

From the Sent tab, you can see a list of all sent messages (including recurring or scheduled messages).

It will reflect the subject of the message, the date and time it was sent, the from email address, the count (number of recipients), and a checkbox if the message has been sent.

A Copy button will appear to the right of each message.

Viewing Message Details

  1. Click on the subject of an email to open it. 

  1. You can view the message, the profiles that received this message, the send options, along with any attachments, and analytics for that message.

There is a Copy button (upper right corner) if you need to send this email to more recipients. You can add to the message or change it completely for the Copy operation.
