Event Settings: Registration Settings

Introduction

The Registration Settings tab includes settings for event and registration visibility (calendar), the ability to edit attendees after registration (member portal), available payment methods, assigning an MC Trade user for notifications, minimum and maximum attendees, attendee and sales goals, and some customization of the event details and registration summary pages.

  1. Click on the Events menu and then Select Events.
  2. Find the event and click on its name to edit it.
  3. On the left side, click Registration Settings.

Event Status

The Event Status check boxes refer to the event's availability on your website. Adjust these options to control whether or not the event is listed on your website and open for online registration.

Disable Registration: If this is checked, the Register option will not be visible on the calendar. Direct links to the registration page will also be disabled. Yet your staff can still add registrations on the backend.

Hide Event on Calendar: If this is checked, the event will not be visible on the calendar. This allows you to host private (invitation-only) events where you hide the event from the calendar, but leave "Disable Registration" unchecked, so that you can send a direct link to the relevant people.

Allow Editing Of Attendees in Portal: if this is checked, members will see an "Edit Registration" button when viewing a list of their events. Events will appear on that list if they are a registered attendee or even if they just created the registration.

End Date and Entity

The Public Registration End Date: If checked, this allows you to set a date to automatically hide the Register button from the calendar. Typically this is used to shut off registration ahead of the "Sales End Date" defined in the event items.

While the "Disable Registration" button shuts off online registration immediately (including direct links), the Public Registration End Date will only hide the button from the calendar. Direct links to the registration page, if shared, will bypass the calendar and people will still be able to register.

Event Entity: If you are setting up this event for a specific entity then you may select it from the list.

Payment Methods

This is a list of available payment methods. You may , with the ability to make that Payment Method available for online registration by your guests for one or more event items, and/or add a fee to be added to the event invoice when that payment method is used.

When you edit a method, you can make it available online, decide which event items will offer it, if there is an additional fee for using that payment method and, if so, the revenue item and description.

Cash or Check is the only payment method that cannot be made available online, but it is available for your staff to choose when creating a registration in MC Trade.

Click Edit next to the payment method and choose: 

  • Available to Public: If checked, this payment method will be available on your website when someone registers for this event. If an item is not marked as "Available to Public," your staff can still use that payment method when registering someone for the event.
  • Applies To: If you place a check next to an event item then this method will be offered when someone registers for that event item.

As an example, some associations create an event item that is for members only and want the Bill Me Later option to only be available on that item. Then create an event item for non-members with the other payment methods, so they must pay at the time of registration.

If you have not setup an event items, you will need to do that, and circle back to this screen.

  • Fee Type: This gives you the option of having an additional fee when this payment type is chosen such as a surcharge for using a credit card or for paying at the door. Fees can either be a flat amount or a percentage of the event item's total price.
  • If you choose to add an additional fee then enter the Amount, choose a Revenue Item, and enter a Fee Description as you wish it to appear on the receipt and invoice line item.

After making the desired changes, click Save.

Assigned To and Attendees

Event Assigned To: This allows you to choose an MC Trade user who will receive notifications each time a registration is submitted online. If you want to add more people to receive notifications, you can do so from the Event Notifications tab.

Maximum Attendees: This allows you to specify a maximum number of attendees for the event. Leave this at 0 if there is not a maximum.

If there are multiple event items, it will determine if this has been reached based on the total number of attendees across all items.

For example, if you enter 50 as the maximum, and the Dinner event item has 25 attendees, as does the Show event item, then when someone tries to register, it will warn them that the maximum has been reached and not allow them to submit the registration.

Minimum Attendees: This allows you to specify a minimum number of attendees for the event. Leave this at 0 if there is not a minimum.

If there are multiple event items, it will determine if this has been reached based on the total number of attendees across all items.

Date To Decide Event Cancelation: If you entered a minimum number of attendees then enter the date by which you need to meet that minimum.

Attendee Goal: This allows you to establish a target number of attendees for this event.

Sales Goal: This allows you to establish a target amount of revenue from this event.

The maximum, minimum, date to reach the minimum, attendee goal, and sales goal will appear in MC Trade, on the event dashboard, for quick reference.

Detail Page Settings

Show "Have Questions" On Details Page: If this is checked and an email address is entered, a form will appear on the event details for visitors to send a question. It will go to the entered email address.

Use Special Details Page Url: This allows you to redirect them to a different details page when they click View Event Details from the calendar.

Use Special Registration Url: This allows you to redirect them to a different registration page when they click the Register button on the calendar or event details page.

Show Related Website: This allows you to show a link towards the top of the event details page.

Show Map Link: If this is checked, a Google map will appear on the event details page for the address entered in the General Settings.

Override Map Link: This allows you to override the Google map with a different link that gives directions to the specific location.

Show Weather Info On Event Details Page: If this is checked, a weather forecast will appear on the event details page for the address entered in the General Settings.

Show Current Attendees: If this is checked, attendee names and organizations will be displayed on the event detail page. This can happen as soon as one person has registered or you can set a threshold.

For example, after 10 attendees have registered.

Sharing

Enable Sharing: If checked, Share buttons will appear on the registration summary page, allowing the registrant to easily share the event across a social network (Twitter, Facebook, and/or LinkedIn).

Each button will prompt them to post to their social media page, with the option to customize their message, and a link back to the event registration page.

Below is a message to direct their attention to these buttons. You may change it, if needed.
