The General Settings tab for an event includes basic event information such as date, time, location, and descriptions.
To view and edit event General Settings:
- From the Events menu, select Select Events.
- Search for and locate the desired event, then select the event name to open the event Dashboard.
- From the left tab menu, select General Settings under Event Settings.
-
After making the desired changes, select Save at the top of the page to save the changes.
The General Settings for an event can be broken into four different sections: Name and Schedule, Event Image and Types, Location Information, and Description and Course Information.
Name and Schedule
From the Name and Schedule section of the General Settings, perform the following:
- Enter the Name of the event.
- Select the Start Date and Time. This is the date and time that the event will begin.
- Select the End Date and Time. This is the date and time that the event will end.
- The All Day Event checkbox defines if this event is considered an all day event. If this checkbox is checked, the start and end time will be removed.
- If the Start Date and End Date are different (i.e., a multi-day event), the Set Hours of Each Day Separately checkbox will display. Checking this checkbox this will allow the start time and end time for each day to be set separately.
- Select the Time Zone. If a time zone is selected, visitors will see the start and end times adjusted to their time zone.
Event Image and Types
From the Event Image and Types section, perform the following:
- Search for and select an Event Image. An image is optional to include. It will appear on the event web page and will be available to include in the confirmation email.
To add an event image, select the magnifying glass, then select one of the following from the drop-down list:
- All Images: This will present a list of all uploaded images.
- Web Content Images: This will present a list of all web content images.
- Web Server Images: This will present a list of all images from previous events.
-
Upload New Image: This will allow you to upload an image from your computer.
Select the Choose button, locate and select the desired image, then select the Upload button.
- Once one of the above choices is selected, find the desired image, and click Select.
To remove an image after uploading, select the X (far right).
Images have a file size limit of 4MB. Most layouts work best with a max image height of 200px and a max width of 300px. Images larger than this may cause issues with layouts. The confirmation message doesn't resize the event image. It is recommended to upload the actual size that it will appear in the email. - Select the Event Type. This will be based on the organization's list of event types. There is a filter on the calendar where visitors can choose one or more event types.
- Select the Calendar Type: Organization, Community, Members Only, or Internal. There is a filter on the calendar where visitors can choose one or more calendar types.
If an event is set up as only an Internal type, it will not appear on the calendar. However, if it is an Internal type and any other (e.g., Organization and Internal), the event will appear. - The Featured Event checkbox is a legacy option, but is still available for reference purposes.
Location Information
From the Location Information section, perform the following:
- Search for and select the Location. Enter a profile name or ID, then select the profile. The venue, address, city, state/province, and postal code will auto-populate if entered on the profile.
This information can be entered manually without selecting a profile, but it is recommended to use a profile, so if the profile's location changes, the event will automatically update. - Enter the Venue. This reflects the event's location.
- Enter the Address. This reflects the address of the event's location (up to two lines).
- Enter the City, State/Province, and Postal Code. This reflects the city, state/province, and postal code of the event's location.
All of the location information above will appear on the event details page and calendar. - Enter Directions to the specific location (e.g., a specific conference room at the location). These directions will appear on the event details page.
Descriptions and Course Information
From the Descriptions and Course Information section, perform the following:
- Enter a Short Description of the event.
This will appear on the calendar and will be used if the registrant selects "Add to calendar" or shares to social media (both options on the confirmation screen after the registration). - If this is a training course, the Instructor name and Course Number may be entered here.
- Enter a Long Description of the event.
This will appear on the event details page.
Select the Back to Top option at the bottom of the page to return to the top of the General Settings page. After making the desired changes, select Save at the top of the page to save the changes.
