Introduction
This report provides a list of all credit card transactions within a defined date range. It includes fields such as invoice date, profile, and amount. It includes transactions that have not been processed.
Running the Report
- Click on the Reports menu and Run a Report.
- Click to expand the Revenue Reports.
- Click to expand the Payment Reports.
- Click on Credit Card Transactions.
This will open a window where you define parameters for the report.
After you click OK to run the report, you can refresh the report page at any time to go back to the parameters window, and make changes.
At the top of the report, be sure to look at the paging controls (see screenshot below). If the button on the right (next page) is available then there is more data.
Parameters
After you define these parameters, scroll to the bottom, and click OK to go into the report.
Select Beginning Date and Select Ending Date: This is required and determines what period of time should be reflected in the report. Credit card transactions will appear if the transaction date falls within this date range.
Accounting Package Name Contains: This allows you to include data for a specific accounting package based on the Revenue Item(s) used on the invoice. In your Global Settings (Admin menu), under the Accounting Packages tab, you will see the Accounting Package Name. If you want to focus on data for that package, enter that name in the parameters window.
Otherwise leave this as All to show all data.
Breakdown of Report
Each record includes:
- Date: This column shows the date of the invoice to which this payment is being applied.
- Processed: This column indicates whether or not the transaction was processed.
- Profile Name/Name on Card: This includes the name on the profile and, after the forward slash, the name on the credit card.
- Card Type: This column shows the type of card that was used.
- Invoice Numbers: This column shows the invoice number to which this payment is being applied.
- Revenue Items: This column shows the revenue item to which this payment is being applied.
You may see the same invoice number on different rows (records) because the invoice has more than one revenue item.
- Result: This column shows the result of being processed including the processing date and time.
- Amount: This column shows the amount of this credit card payment.
At the end of the report is a total of the processed credit card transactions.
Exporting
In the top left corner is a button to print which allows you to export this report to PDF.
Once exported to PDF, you can view and print the PDF.
Also in the top left corner is a button to export to several formats including PDF.
