Collections Report

Introduction

Each section of this report shows a profile (member and non-member) with open invoices.

This can be configured to include all invoices, only invoices that are classified as dues, or only non-dues.

It includes each invoice date, number, description, aging, and amount information.

Running the Report

  1. Click on the Reports menu and Run a Report.
  2. Click to expand the Revenue Reports.

  1. Click to expand the Accounts Receivable Reports.
  2. Click on Collections Report.

This will open a window where you define parameters for the report.

After you click OK to run the report, you can refresh the report page at any time to go back to the parameters window, and make changes.

At the top of the report, be sure to look at the paging controls (see screenshot below). If the button on the right (next page) is available then there is more data.

Parameters

After you define these parameters, scroll to the bottom, and click OK to go into the report.

Select Invoices: This determines the type of invoices that should appear in the report.

  • All Invoices: This will include all invoices (dues and non-dues).
  • Dues Only: This will include only invoices that contain dues.
  • Non-Dues Only: This will include only invoices that contain dues.

Dues and non-dues is determined by the revenue item in the invoice.

Breakdown of Report

At the top of each section is the:

  • Profile name
  • Profile ID
  • Address
  • Phone Number
  • Related contacts and assigned users

If the profile is a member then it will say Open Invoices - MEMBER.

On the far left is a list of the profiles. Clicking on a profile will jump to the page that contains that profile.

Within each section are open invoices including the:

  • Invoice Date
  • Invoice Number
  • (Line) Item Description
  • Date Due
  • Days Aging
  • Amount

Below each invoice is a subtotal which is useful when an invoice contains multiple line items.

At the bottom of each section, you will find the total of all open invoices for that profile.

Exporting

In the top left corner is a button to print which allows you to export this report to PDF.

Once exported to PDF, you can view and print the PDF.

Also in the top left corner is a button to export to other formats.

The other available formats include:

  • Crystal Reports (RPT)
  • PDF
  • Microsoft Excel
  • Microsoft Word
  • Rich Text Format
  • Character Separated Values (CSV)
  • XML

PDF and Microsoft Excel (97-2003) are common formats.
