At the top of the report, be sure to look at the paging controls (see screenshot below). If the button on the right (next page) is available then there is more data.
Parameters
After you define these parameters, scroll to the bottom, and click OK to go into the report.
Enter ViewFormat: This allows you to render the report in the standard Print View for printing or exporting or in a special Export View that is optimized for exporting.
The Export View is NOT readable from the browser, but readable in Excel.
- The Print View, which is the standard view for all reports, renders the data in a readable format from the browser. It includes Print and Export options in the top left corner.
- The Export View also includes Print and Export options in the top left corner, but this view is specifically meant to be used with the Export option > Excel formats.
For Export View, choose "Microsoft Excel (1997-2003) Data-Only" as the File Format.
Enter Beginning of Date Paid Range and Enter End of Date Paid Range: This date range determines what period of time should be reflected in the report. Profiles will appear if they paid their renewal within this date range.
Under "Available Values," click on a membership level and then click the right arrow to add it to the list of "Selected Values." You must select at least one level.
- If you click the double arrows then you are adding everything.
In the example above, if you wanted to quickly select: General Member and Associate Member, hold the Ctrl key, click each item, and then click the right arrow to add both of them.
- To remove a membership level, under the Selected Values, select the level, and click Remove, or to remove all, click Remove All.
Would you like to include members that are not assigned a Membership Level: If you change this to Yes, it will include members that joined, but who were not assigned to a membership level.
If you choose Yes, you still must add at least one membership level to the list of Selected Values.
Breakdown of Report
This report is broken down by membership levels. Underneath each membership level are all member profiles that are assigned to that level, and that paid their renewal within the defined date range.
A profile will only show if it has a previous payment of a dues type line item.
The Member Since date can be found in the top right corner of each member profile.
Each member profile has two columns of information.
First column:
- The member profile's report name
- The member profile ID
- The member profile's address
- The member profile's city, state, and zip
- The member profile's phone number
- The member profile's email address
- The member profile's web address
Second column:
- The member profile's main contact name
- The member profile's main contact phone number
- The member profile's main contact email address
Below these columns is the renewal's date due, date paid, amount, and billing cycle.
On the left side, you can click on a membership level to jump to that section of the report.
Exporting
In the top left corner is a button to print which allows you to export this report to PDF.
Once exported to PDF, you can view and print the PDF.
If you chose the Export View (Parameters) then do NOT use this option because it will print an unreadable report. Instead use the Export option which is detailed below.
Also in the top left corner is a button to export to other formats.
The other available formats include:
- Crystal Reports (RPT)
- Microsoft Excel
- Microsoft Word
- Rich Text Format
