Breakdown of the Profile Selector Tabs

Overview of Tabs

The Profile Selector includes several tabs which are vertically displayed on the left side. Most of these tabs allow you to add search fields and some allow other functions such as loading a saved data view.

As you add search fields, a bullet will appear in front of the modified tabs.

Also, when you add a search field, an operator drop down will appear where you indicate how the search field should relate to the value. In the example below, the search field (City) must equal Austin.

Also, you may add more than one search field to many of the tabs. If you do, there will be an AND/OR drop down between the search fields to indicate if the profiles must match x OR y, or x AND y.

Even if you go to another screen or log out of MC Trade, when you return, your settings will persist which means it will continue to load your custom list of profiles until you clear the settings. To clear your settings, click Clear Search (found on the right above the data grid).

Profile Info

These search fields are based on profile information. Some examples:

  • Profiles in a specific city or state
  • Profiles that have been members since a specific date

The drop down list also includes any custom fields that you created. That means that you can track (at the profile level) anything you want, and then use that as search criteria by adding it here.

Billing

These search fields are based on billing records. For example, profiles that are being billed for a specific revenue item.

Billing Anchor Month: Profiles with a billing period that began on a specific month.

Billing Revenue Item: Profiles with billing set up for a specific revenue item. If None is selected then it will show profiles with billing set up for any revenue item.

Billing Cycle: Profiles with billing set up for a specific cycle.

  • Every Month
  • Every 3 Months
  • Every 6 Months
  • Every 12 Months

Yearly Dues Amount Between: Profiles with billing set up for an amount that is at least this amount.

And: Profiles with billing set up for an amount that is at most this amount.

ARB Billings Only: Profiles with a billing record that has automatic recurring billing enabled.

If you only check ARB Billings Only then it will search for profiles that have at least one billing record with automatic recurring billing enabled. If you narrow it down more by, for example, choosing a billing revenue item, and also checking ARB Billings Only then it will

Member Activity

These search fields are based on recorded member activity relative to a specific date. You would choose from a list of member activity codes and specify a date.

The member activity codes are a list that you would create. Examples include: Joined, Rejoined, Dropped - Nonpayment, and Dropped - Out of Business.

Affiliation Codes

Affiliation codes are a list that you would create. They can be anything you want, but some examples include codes for different committees, different mailing lists, and different subscriptions.

These search fields are based on affiliation codes that are either assigned to the profile:Or not assigned to the profile:

You would choose from a list of codes on the left and click the arrow to add them to the right.

Above the Profiles must have panel (top right) and the Profiles must NOT have panel (bottom right) are two radios: All and One of. In the example below, we want to search for profiles that have one or more of the following: Community Update, Interested in Volunteering, and Weekly Newsletter.

In the example below, we want to search for profiles that do NOT have one or more of the following: Basic Membership Plan and Silver Sponsor.

Categories

These search fields are based on profiles under specific categories. You would choose from a list of categories or categories/sub-categories.

Categories and sub-categories are codes that you would create. Examples includes Government, Hotels, Automotive/Car Repair, and Automotive/Car Sales.

Events

These search fields are based on profiles that signed up one or more attendees for an event, profiles that are the attendees of an event, or profiles that are neither of these.

This is not based on an event name, but an event id number. Click on the Events menu, click Select Events, and notice the number right of the event name.

If you based your criteria on attendees for an event and nobody appears, but there are attendees when you look at the event, they will only appear if they have profiles.

Certifications

These search fields are based on a specified certificate or CEU. You would choose from a list of certificates or CEUs and then choose whether it should pull profiles that earned it, or have an expiration, or have a renewal relative to a specified date.

Related Profiles

These search fields are based on profiles that have specific relationships to another profile: the main contact, the receiver of communication, the billing contact, the editor, or any related profile (Primary Relationship). There is also an option to narrow down the search by relation type (e.g., Employee or Former Employee).

This tab can base the search on all profiles or on just the profiles currently in your results.

Filter Results: It will search for profiles related to member profiles.

Add Results: It will look at the profiles currently in your data grid, pull a list of related profiles, and then add the related profiles to your current data grid.

Replace Results: It will look at the profiles currently in your data grid, pull a list of related profiles, and then replace your current data grid with the related profiles.

Common Data Views

This tab includes a list of preloaded data views. Examples: All Members, All Prospects, All Profiles with Unpaid Invoices (several versions of this: 30 Days Past Due, 60 Days Past Due, etc.), and All Profiles with Invoices Coming Due (several versions of this).

It cannot be combined with other tabs. All other tabs will be cleared if this is enabled.

If you simply want a list of members, you will find this under Common Data Views, but if you want a list of members and then filter that further down to members who match specific criteria, then instead of using Common Data Views, add a search field, from the Profile Info tab, for Member.

My Data Views

This tab includes a list of your saved data views. If you ever want to save your filters, click on this tab, and then click Save Search. It will prompt you to enter a name and ask you to check "All Users" to make this data view available to everyone. Now, moving forward, you can click on this tab and choose your saved data view from the drop down list.

Advanced

This tab allows you to enter a raw SQL query.

It cannot be combined with other tabs. All other tabs will be cleared if this is enabled.

Form Submissions

These search fields are based on profiles that either filled out a specific form or did not fill out the form, or based on profiles that submitted the form relative to a specific date.
