Introduction
Recent Contacts Panel
On the profile view screen, there is a Recent Contacts panel. This shows contact records from the past 90 days that were added to the profile manually or added automatically from a sent email.
Contacts will only be added automatically if the option to create contact records on profile is enabled before sending the message (in the Send Email tool and under the Send tab).
The contacts are displayed with the most recent at the top and include who was contacted, the date of the contact, subject, the first line of the description, contact type, and who initiated it.
Points of Contact Screen
The Recent Contacts panel will only show contacts within the last 90 days, but to view all contacts or for the options to edit and delete, click Manage All.
By default, the Points of Contact screen shows the past 12 months, but it is controlled by the date range in the upper right corner.
Adding a Contact
Adding a Contact to the Profile
To add a contact to the profile:
- View the profile.
- Scroll down to the Recent Contacts panel.
- Click Add a Contact.
- Under Contacted, enter the receiver's name.
- Enter the Subject.
- Adjust the Type.
The Type is based on a list of codes that you create on the Manage Codes screen (Admin > Manage Codes > Profile Codes > Contact Types).
- Adjust Who contacted them if necessary.
- Adjust the Contact date if necessary.
- Enter a Description.
If you want to create a task based on this contact then place a check next to Create a Task From This Contact. It will create a task and put a copy of this contact's description in the notes of the task.
- Click Save This Contact.
Adding a Contact from Email
In the Send Email tool (Communication > Send Email), there is an option under the Send tab to create contact records on profile. Before sending an email, place a check next to this option if you want the email to be automatically added as a contact record.
The analytics of the email can also be viewed from the profile.
Editing a Contact
To edit a contact:
- View the profile.
- Scroll down to the Recent Contacts panel.
- Click Manage All.
- Find the contact.
You may need to adjust the date range in the upper right corner.
- Click the ... button next to the contact (far right) and choose Edit.
- After making the desired changes, click Save This Contact.
Viewing Analytics
Only contact records that were created automatically from emails sent in MC Trade will have analytics.
- View the profile.
- Scroll down to the Recent Contacts panel.
- Click Manage All.
- Find the contact.
You may need to adjust the date range in the upper right corner.
- Click the ... button next to the contact (far right) and choose Edit.
The analytics will show the number of times it was read, the date that it was first read, the date that it was last read, the links (if any) that were clicked, and the number of clicks.
Deleting a Contact
This action CANNOT be undone.
To delete a contact:
- View the profile.
- Scroll down to the Recent Contacts panel.
- Click Manage All.
- Find the contact.
You may need to adjust the date range in the upper right corner.
- Click the ... button next to the contact (far right) and choose Delete.
- Click Delete to confirm.
