Sending Invoices via Email

Introduction

You may email a link to download either a single invoice or multiple invoices.

You can do this from the profile or when searching for invoices.

Sending from the Profile

  1. Find and open the profile.
  2. Find the Revenue panel and click View Transactions.
  3. Select the result(s) that you want to include in your email.
  4. Click Actions above the grid and click Email.

Sending from the Select Invoices Screen

  1. Search for invoices. You can search for all invoices or narrow your search with one or more filters at the top such as Batch ID for invoices that were generated in a batch.
  2. Select the result(s) that you want to include in your email.
  3. Click Actions above the grid (left side) and choose Email selected invoices

  1. A window will appear asking you to choose a template for your email. You can leave this selection as "None" to write your own email or select a template from the dropdown, and click Continue.

You'll be taken to the new email, which is saved automatically as a draft.

  • The subject of the email is populated as "Invoice from [your organization name]."
  • The message contains the template you selected (if any) and the [[PRINTABLEINVOICE]] special field at the bottom of the email.
    • This will populate with a link that reads "View Invoice(s)" in the email to your member.
    • The link will launch a printable version of the invoice directly in their browser window. Click here to learn more about this field.

If you log into MC Trade to send a general email and select this [[PRINTABLEINVOICE]] field, it will not work because it does not have an invoice to reference. It will only work after following these steps (when you select an invoice and choose the option to email).

  • If you would also like to include a link to the Online Bill Pay page in your member portal, you need to add that to your template or message separately using the Open Invoices Link special field. 

The link to open invoices will expire in 24 hours.

  • On the Profiles tab, your name and email are populated in the "From" fields.
  • The profiles of the invoices you had selected in the Invoice Selector will be listed as the recipients, with the profile's Billing contact's email address automatically populated. 
  1. Make any desired changes to the information and click Send Email Now on the Send tab.
