There are three different ways to add a committee member:
- Add each Committee Member by Name
- Add a Group of Committee Members in Bulk
- Add each Committee Member from the Profile View Screen
Add Each Committee Member by Name
- Select the Profiles menu > Committees.
- Select the committee to add a member to.
- Select the Committee Members tab on the left.
- Select Add a Member on the right.
- Search for all or part of the name of the profile and click Select on the results that are displayed.
- Enter a Committee role/title for the committee member, or leave this field blank.
- The Start Date defaults to the current date, but this can be changed if necessary.
- The Expiration Date will be automatically calculated based on the Start Date, and the default term for the committee (set in the Term Settings section of the Committee Details).
To override this default, select Use custom expiration settings instead and change the expiration date manually.
- When an individual profile is added to a committee, the list of Committee Members displays their profile name as well as their default related organization (the first or main organization profile related to that individual Committee Member).
After saving the new committee member, the default organization can be changed by selecting Override this and manually select an organization instead. This option only appears when editing an existing committee member.
No automated updates will occur if that individual later leaves that organization.
- Fill in any notes/details on this committee member using the Internal Notes or Custom fields.
- To add more members individually, select Save And Add Another, and repeat steps 5-11. Otherwise continue to step 12.
- Select Save and Close.
Committee-specific Custom Fields only live within Committee membership, not on the Profile itself the way standard/global Custom Fields do.
Add a Group of Committee Members in Bulk
- Select the Profiles menu > Committees.
- Select the committee to add a member to.
- Select the Committee Members tab on the left.
- Select Add a Group of Members.
- The Profile Selector will open in a new window ton search for the group of profiles to add. Enter the criteria and select Run This Search. Scroll down to see the results.
A common use case is to search for a previous year's committee using the Affiliation Codes.
- Select the profiles to add either by selecting individual profile rows or using the Select All button at the top of the grid.
- Enter the Committee start date to use for all members that are added (this defaults to the current date).
- Select Add Selected Profiles To The Committee.
Add Each Committee Member from The Profile View Screen
- Select the Profiles menu > Select Profiles.
- Using the profile selector, find and open the profile to add to the committee.
- Scroll down to the Committees panel on the bottom left of the profile.
- Select Add to a committee.
- Select the committee from the dropdown list and enter a Start Date (or leave it as the current date).
- Select Save.
Adding Committee Affiliation Code to Profile does NOT add them to Committee. The profile must still be added to the Committee separately. However, removing Committee Affiliation Codes will deactivate the Profile's Committee Membership (but activity history will remain on profile). Marking the Profile as inactive will also remove the Committee Affiliation Code.
