Integrating Intacct: Set up IntAcct Locations and Departments

Integrating MC Trade with your Intacct accounting system allows you to easily keep the two applications in sync with each other. Once connected, MC Trade will be your system of record for revenue transaction detail, and Intacct will remain your overall accounting package.

The two options for integrating with Intacct are below:

1. Manual set up - You can do this in the browser.

  • First, navigate to Admin > Global Settings > Accounting Packages and set up an Accounting Package with the Type set to Intacct, but do not login.
  • Then, navigate to Admin > Manage Codes > Revenue Codes manually add your Account Codes, Intacct Locations, Departments and Journals (if needed). If you also have sub-accounts, a best practice is to enter them all as Account Codes including the Main Account and the Sub-Account separated by a colon. Like this: MainAccount:SubAccount.

For the Intacct fields, you will find the external ID in Intacct or it can just be the same as the Location, Dept. or Journal Name. The Custom Field on a Revenue Item can be used for an additional level of segmentation. You can then go on to assign Departments and Locations to your individual revenue items so that any revenue you post using that item gets posted to the corresponding Department/Location in Intacct.  You will need to set up a separate revenue item for each different code that you use.

2. Fully Integrated/Connected - You must use the MC Trade Financial desktop application to set up this integration. Click here to see those instructions. After successfully connecting Intacct and importing Account Codes, the Department and Location drop-downs will automatically populate. Department field will populate under the field labeled Default Service Period in Days. The Custom Field is for additional segmentation. 

You can then go on to assign Departments and Locations to your individual revenue items so that any revenue you post using that item gets posted to the corresponding Department/Location in Intacct.  You will need to set up a separate revenue item for each different code that you use.

*FYI, the Location and Department fields that are shown in the desktop do NOT feed over to the display in those fields in the browser or in the dropdown in the revenue items and you cannot use the browser to manage a full integration. Any changes to codes must be done in the desktop.
