Creating and Managing Sales Opportunities

Adding a Sales Opportunity

  1. Find and open the profile.
  2. Scroll down to the "Sales Opportunities" panel.
  3. Click Add a Sales Opportunity in the top right corner.

  1. After filling out the fields (see breakdown below), click Save.

When adding or editing an opportunity, there are several fields:

  • Working with: In the upper right corner, you may indicate which related profile you are working with for this particular opportunity.
  • Revenue Item: This is required. It indicates what you are trying to sell and should be the Revenue Item that you will choose if you make the sale.

By choosing a revenue item, you are not creating an invoice. It is just for forecasting.

  • Estimated Amount: Enter the amount you anticipate for this sale. This amount can be changed as you progress through the process.
  • Estimated Close: Enter the date by which you want to complete this sale. This date can be changed as you progress through the process.
  • Probability: This is a code that you can set up in your Admin section to determine how far along in the process this sale is. High, Medium, and Low are the defaults, but you can customize this list to reflect your own process.
  • Assigned To: This indicates which sales person is working on this opportunity.
  • Started on: defaults to the current date, to indicate when the process was started
  • Source: This indicates how you got the lead. The list of choices can be customized in the Admin menu, under Manage Codes and in the Member Codes section.
  • Closed/Lost: Once you have either closed the sale or determined that you cannot make this sale and want to set it as Lost, you can choose the appropriate option from this dropdown. It will then prompt you to set the date closed or lost, and indicate the Actual Amount value if closed, or the Lost Reason if lost.
  • Notes: Enter any details that will be helpful to you as you work through the sale.

Searching for Sales Opportunities

  1. Click on the Profiles menu and then Sales Opportunities.

All open sales opportunities will appear in the search results by default.

  • Each page will show 20 opportunities, but you may see page numbers at the bottom. You may also sort by any of the columns if you click on the column header.
  • You may open a profile by clicking on the profile name and to the right of each profile are options to Edit and Delete the opportunity.

You can filter the list down using the search fields at the top.

  • Assigned to: This allows you to search for all sales opportunities assigned to a specific user.
  • Probability: This allows you to search for all sales opportunities that have a specific probability of success. Otherwise leave this set to All for all probability levels.
  • Estimated close date: This allows you to search for all sales opportunities that have an estimated close date relative to the date entered.
    • Equals: With this operator, it will look for the estimated close date entered.
    • Not equal: With this operator, it will look for any estimated close date except the date entered.
    • Greater than: With this operator, it will look for any estimated close date after the date entered.
    • Less than: With this operator, it will search for any estimated close date before the date entered.
    • In the period: With this operator, it will search for any estimated close date within the period selected (e.g., Last 1 Day, Last 7 Days, Last 30 Days, Month to Date, etc.).
  • Revenue item: This allows you to search for all sales opportunities that have a specific revenue item(s). As you type each item, a list of possibilities will appear for to click on the correct item.

All of the options above are specific to open opportunities (an opportunity that has not been marked as closed or lost). However, you can include closed or lost opportunities.

  • Include closed sales opportunities: This will include opportunities that were marked as closed.
  • Include lost sales opportunities: This will include opportunities that were marked as lost.

Editing a Sales Opportunity

  1. Find and open the profile.
  2. Scroll down to the "Sales Opportunities" panel.
  3. Next to the opportunity you wish to edit, click Edit.
  4. After making your changes, click Save.

You can also edit an opportunity while searching for Sales Opportunities.

Deleting a Sales Opportunity

This CANNOT be undone.

  1. Find and open the profile.
  2. Scroll down to the "Sales Opportunities" panel.
  3. Next to the opportunity you wish to delete, click Delete.
  4. Click Delete to confirm.

You can also edit an opportunity while searching for Sales Opportunities.
