In the case of duplicate Profiles, or mergers and acquisitions, Profiles can be merged using the Profile Merge Tool to combine all information and history from both Profiles in one place.
The logged-in user must have access to the Delete Profile permission setting to be able to merge profiles.
Follow these steps to merge one profile into another:
- Select the Admin menu > Merge Profiles.
Select the box Select Profile to Keep and type in the name of the "master" Profile that the other Profile will be merged into. A list of possible matches will appear below the name typed. Select the correct profile.
- Select the box Select a Profile to Delete to identify the second profile to merge into the first. Type in the profile's name and select the relevant profile to be merged into the other. This second profile will be deleted after merging.
- A column will appear for each profile. Only the fields that will be changed will be displayed. All fields from the Profile to be deleted will be overwritten, unless the Profile to be kept is missing those fields, in which case the value will be moved from the deleted Profile to the new Merged Profile.
- To view all fields, including blanks or fields with identical values, select the Show All option at the top of the page.
All of the tabs in MC Trade that allow multiple records will not overwrite any data, but instead the records from both profiles will be kept in the final profile. For example, if both profiles have one category listing each, the resulting merged profile will have two category listings. Items that will be moved in to the master profile and kept include:
- Mailing and Billing Addresses
- Profile Relationships
- Contact Records/Sales Opportunities
- Affiliation Codes
- Tasks
- Member Activities
- Listings
- Banners and Coupons
- Billing Records
- Transactions (Invoices, Payments, Adjustments, Unapplied Payments)
- Referrals
- Event Sign Up and Attendance records
Once all this information has been verified, select Merge These Profiles. Select Confirm to complete the merge. This action cannot be undone. The non-master profile will be deleted after all data is merged.
