Query tool data views are the primary filter category used to create query prompts. The data view opens a list of fields to further specify the information the query will pull, and each data view category has a specific function and set of fields to create precise queries.
To open the query tool, select Reports > Query Tool, then select the Create A New Query button in the top right corner. The data view is the first dropdown menu option that appears on the screen. When a data view is selected, the fields within that data view will be listed below.
Many fields are repeated throughout various data views, such as profile contact information, billing information, etc., because only one data view can be selected per query. Data views cannot be combined, and once a data view is selected, the query can only be further narrowed using the listed fields and filters. Select Add to add a field as a column in the query.
Data Views
The following data views are available for selection:
- Basic Profile Info: This data view provides fields for basic profile information such as contact info, billing info, membership status, etc.
- Billing Records: This data view provides fields for billing cycle, billing records, etc., as well as various profile info filters.
- CEU: This data view provides fields for various CEU information, such as accreditation cycles and certificate type, as well as billing and general profile information.
- Category Admin: This data view provides fields for category and sub-category information from a profile's directory listing.
- Category Listings: This data view provides fields for category information from a profile's directory listing, as well as profile and billing information.
- Certification: This data view provides fields for certification information, such as certification number or type, as well as various billing and profile field options.
- Committee Members: This data view provides fields for various committee details, such as committee member ID or committee address. There are many fields for organization details, as well as basic profile info fields.
- Contacts: This data view provides fields for contact history, such as contact date, contact type, etc., as well as basic billing and profile information fields.
- Coupons: This data view provides fields like coupon description, coupon price, etc., as well as basic billing and profile fields.
- Event Attendees: This data view provides fields that are specific to event attendee profiles, such as payment types used for the event, attendee contact and profile info, invoice info, revenue item info, and more.
- HBA Profile Info: This data view provides fields specifically for Home Builder's Association accounts to filter NAHB-specific fields, as well as basic info such as billing, main contact, and profile info.
- Invoice Line Item: This data view provides fields for profiles with an invoice history, such as invoice number, adjusted amount due, etc. There are also many billing, profile, and contact information fields.
- NAA: This section of data views (including NAA Individual, NAA Management Company, NAA Owner, and NAA Property) provides specific data views for the National Apartment Association such as Date Individual Entered Industry, NAA ID, Number of Units, etc., including basic billing, contact, and profile information fields.
- Payments: This data view provides fields for payment info, such as credit card information, invoice info, line item info, and revenue item info, as well as the basic billing, profile, and contact fields.
- Profile Affiliation Codes: This data view provides fields for affiliation codes, such as Affiliation Code ID, as well as the basic profile, contact, and membership fields.
- Profile Benefits: This data view provides fields for event benefits such as Event Benefit ID, and includes the basic profile, billing, and contact fields.

Profile Custom Fields: This data view provides fields for custom fields added to a profile, such as Custom Field Description, Custom Field ID, etc., and includes the basic fields for billing, profile, and contact info.
To create custom fields, go to Admin > Manage Codes > Profile Codes > Custom Fields, then return to the profile to add the custom field. - Profile Entity View: This data view provides fields specifically for Entity Profiles where one client would have other Entity profiles set up within the same database. This data view also includes the basic fields for billing, profile, and contact info.
- Profile Member Activity: This data view provides fields for member activity, such as Member Activity Date Created or Member Activity Type, as well as the basic profile, billing, and contact fields.
- Projects: This data view provides fields for Project-related profiles, such as Project Assigned To User ID, and also offers the basic billing, contact, and profile fields.
- Referral Summary: This data view provides fields to break down referrals, such as Last Referral Date and Referral Count, and also offers the basic contact, billing, profile, and membership fields.
- Related Profile Info: This data view provides fields for filtering related profiles, and provides fields with the basic contact, billing, and profile info for both a regular profile and related profile.
- Revenue Recognition: This data view provides fields specifically for revenue, such as Invoice Number, Revenue Item ID, etc. This data view does not contain any basic fields for profile, billing, or contact information.
- Sales Opportunities: This data view provides fields for sales opportunities, such as Estimated Close Date, Initial Payment, etc., as well as various revenue item and 'working with' fields, and the basic profile and contact fields.
- Tasks: This data view provides fields for tasks assigned to profiles, such as Assigned To User ID, Task Type, etc., and also provides the basic profile and contact fields.
