Below are four examples of emails that are commonly sent, using the same search criteria and same email template each time. The Set as Recurring email feature is used to set these messages to go out automatically on a recurring basis.
Daily New Member Welcome Email
- Go to Communication > Send Email.
- Enter a subject line and message for the email. A template can be used, and any Special Fields can be applied to the template or added to a blank email.
- Select the Profiles tab on the left. Under the To dropdown menu, choose Create List in Profile Selector.
- Select the Member Activity tab, and select Add Search Field. Choose the "Joined" option. Then select "In the Period", then "Last One Day"
- Select Email List at the bottom right corner to generate the list.
- To send the email to the Main Contact of these members, choose Send Email to Main Contact of Profiles.
- Select the Send tab on the left, and choose Set as Recurring.
- Choose Daily, and then set the time at which you'd like the email to go out each day.
- Select Save and Schedule Recurring Email.
Daily Member Retention Email (at the 90-Day mark)
- Go to Communication > Send Email.
- Enter a subject line and message for the email. A template can be used, and any Special Fields can be applied to the template or added to a blank email.
- Select the Profiles tab on the left. Under the To dropdown menu, choose Create List in Profile Selector.
- Select the Member Activity tab, and select Add Search Criteria. Choose the "Joined" option. Then select "Days Ago" and enter "90" as the number of days.
- Select Email List at the bottom right corner to generate the list.
- To send the email to the Main Contact of these members, choose Send Email to Main Contact of Profiles.
- Select the Send tab on the left, and choose Set as Recurring.
- Choose Daily, and then set the time at which you'd like the email to go out each day.
- Select Save and Schedule Recurring Email.
Monthly Member Renewal Email (about 30 days ahead of due date - assumes 1st of the month Due Date)
- Go to Communication > Send Email.
- Enter a subject line and message for the email. A template can be used, and any Special Fields can be applied to the template or added to a blank email.
- Select the Profiles tab on the left. Under the To dropdown menu, choose Create List in Invoice Selector.
- Select Add Search Field, and choose Due Date. Then select "In the Period," and select "Next 30 Days"
- Select the Aging tab, and choose All Open.
- Select the Revenue Item tab, and select All Dues Renewal revenue items.
- Select Email List at the bottom right corner to generate the list.
- Select the Send tab on the left, and choose Set as Recurring.
- Choose Monthly, and then choose the 3rd of the month, and then set the time at which you'd like the email to go out on the 3rd of each month.
- Click Save and Schedule Recurring Email
If member renewal dates are scattered, the criteria must be modified so a member isn't missed or emailed more than once. Rather than "In This Period", select "Days in the Future", and in the last box, put 30. Then, in the Send tab, instead of "Monthly", select "Daily", then set a time.
Last Chance Invoice Email
- Go to Communication > Send Email.
- Enter a subject line and message for the email. A template can be used, and any Special Fields can be applied to the template or added to a blank email.
- Select the Profiles tab on the left, and choose Select Saved Data View.
- From the resulting dropdown, choose All Profiles With Unpaid Dues Invoices 120 Days Past Due, and select the arrow to preview the list.
- Choose the Send Email to Billing Contact option (if desired).
- Select the Send tab on the left, and choose Set as Recurring.
- Choose Monthly, and then choose the 1st of the month, and then set the time for the email to be sent on the 1st of each month.
- Select Save and Schedule Recurring Email.
Payment Received Thank You Email
- Go to Communication > Send Email.
- Enter a subject line and message for the email. A template can be used, and any Special Fields can be applied to the template or added to a blank email.
- Select the Profiles tab on the left. Under the To dropdown menu, choose Create List in Invoice Selector.
- Select Payment Info > Add Search Field.
- Select Payment Date, and set the search criteria to In the Period of Last 1 Day.
- To restrict payments made towards specific revenue items, add a parameter under the "Revenue Item" tab and select the specific revenue items.
- Select Email List.
- Select the Send tab on the left, and choose Set as Recurring.
- Choose Daily, and then set the time for the email to be sent each day.
- Select Save and Schedule Recurring Email.
Other ideas include:
- Six-month "how's it going?" check-in email for new members
- Reminders for members to log in and update contact information periodically
- New Member Orientation event signups for new members who have not yet signed up
- Large annual event campaign, for members who have not yet signed up (note: specific event information like date/time/location cannot be dynamically included, so you'd need to turn this one off after the event is over)
- Internal staff reminders, such as regular report downloads or update projects/tasks
