Profile Types: in Apartment Association databases, there is an additional field on all profiles called "Profile Type." This is a hardcoded list of seven different types of profiles, which have different corresponding data that can be stored based on the type selected. These types can be searched or assigned, but the list of types (and corresponding fields) cannot be updated in the codes, they are hardcoded into the system.
Profile Selector
To add a search criteria that filters to one or more Profile Types, click the Profile Types menu item on the far left in the Profile Selector. Select to highlight one or more profile types, then click the > arrow. When you click Run this Search, only profiles of the selected types will be returned.
Profile Edit - Profile Type tab
To assign or update the Profile Type, edit (or create) a profile. On the bottom left of the Profile Edit menu, click the Profile Type item. The first field displayed is a dropdown of the seven profile types. If you select Supplier, Affiliate, General Organization, or Individual, no additional fields are displayed. The other three types have the following additional fields appear:
Property:
The main field that should be filled in on a Property profile is the Number of Units field. This is used to calculate total rolled up units on Management Company and/or Owner profiles, and is often used for dues calculations, etc. You can also enter the number of buildings in the property.
Housing Type, Property Management Type, and Housing Category are three additional categorical fields you can assign. The values in these dropdowns are hardcoded and cannot be changed.
Owner/Management Company:
For Owner or Management Company profile types, the total number of units that has been entered for all "Managed" or "Owned" properties that are related to this profile will be rolled up and calculated here. The read-only total number displayed shows this calculated amount. To override the number of units managed or owned (for example if not all owned properties are entered in the database), you can enter any value into the Override field.
NAA ID:
At the bottom of the General Information tab in the Profile Edit screen, each profile for any type will display the NAA ID field. You can manually enter/update this field.
Send Email: Special Fields
When sending emails through the MC Trade email tool, there are four additional "Special Field" values that you can choose to dynamically populate into the body of each email. Note that if you choose to send to a profile that does not have the corresponding field, no value will be populated. If you choose Management Company or Owner, the system will search for the top 1 related profile that is related as either a Management Company or Owner, respectively. It will display the Report Name of that related profile.
