Purpose of a Profile
Profiles are the heart of MC Trade. Nearly every feature pulls information from or adds information to these profiles.
A profile is a place to store:
- Contact information
- General information
- Organizational information
- Profile status
- Sold by user
- Assigned to user
- Membership information
- Listing information
- Social media information
- Affiliation codes
- Custom fields
- Billing information
- Web Portal login information
- Notes
Everything in the list above can be edited from the Profile Edit screen.
The profile status, billing information, affiliation codes, listing information, benefits, and member activity are all fields defined after setting the Membership Level. A member profile will automatically update these areas when a Membership Level is assigned.
Other information that feeds into a profile:
-
Revenue
-
Invoices
- Line items
- Payments
- Adjustments
- Unapplied Payments
-
Invoices
- Benefits
- Event Registrations
- Tasks
- Referrals
- Committees
- Sales Opportunities
Everything in the list above can be viewed from the Profile View screen.
Other parts of MC Trade that impact the profiles:
- Forms can be configured to create profiles or update their information. They can also create invoices that attach to the profile.
- Pledges create invoices that attach to the donor's profile.
- Emails can include specific profile information and special links for the recipient to either update their profile information or view their open invoices.
Parts of a Profile
All of this information has been organized under two screens: the Profile Edit screen and Profile View screen.
- The Profile Edit screen is used to edit the profile information displayed on the side tabs.
- The Profile View screen is used to view the profile information in organized columns.
Many of the panels also include an option to edit or link to a screen that includes the option to edit.
Types and Classifications
A profile represents an individual or organization.
It can be classified as a member, non-member, or prospect.
If a profile is not a member, then it would generally be a non-member.
The third possibility, prospect, marks profiles that are potential members when searching MC Trade or running a report.
The icons are used to quickly determine type and classification throughout MC Trade.
These icons show whether or not the profile is:
- An individual or an organization (by the picture)
- A member or a non-member/prospect (by the color)
Gray represents a non-member or prospect while any other color represents a member.
Red is the default color for a member, but there are other colors available for members if profile status codes are created and assigned. Click here for more information on profile status codes.
Opening a Profile
There are different ways to open a profile. Some screens in MC Trade will link to a specific profile (e.g., when viewing invoices), but otherwise, there are two common ways to open a profile: the Quick Search and the Profile Selector.
Quick Search: Found at the top of the dashboard, or several screens from the Profiles menu. Type the profile ID number, or the profile name. Typing part of it will allow the system to list possible profile names to be selected.
Profile Selector: The Profile Selector can also pull a specific profile, but it is ultimately designed to return a list of profiles that match the defined criteria.
For example, filter by Profile Info, choose Member, and choose True. This will return a list of all profiles that are members. Click here for more information.
