Adding and Managing Certifications to Profile

Introduction

Certifications may be added to the profile for tracking purposes. This includes the expiration date and a renewal option. Before you add a certification, you need to set up Certification Types.

You can also see CEU requirements, if defined on the certification type, and the progress towards those requirements. These CEUs can be manually added to the profile, but they can also be automatically added if they are attached to an event item. When someone registers for the event AND are marked as having attended, the credits will be applied.

Certifications are also useful for searching purposes, making it easy to pull a list of people with specific certifications (using a selector such as the Profile Selector).

Adding a Certification

Once you have created your certification types, you can add certifications to any profile.

  1. Find and open the profile.
  2. Scroll down to the "Certifications" panel.

  1. Click Add a Certification (top right of panel).

  1. For the Type, choose the certification type.

Each profile can only have one non-expired certification of each type, so create your types accordingly.

  1. For the Certification Date, enter an effective date. This will calculate the expiration date (based on the certification date + the length of the certification type).
  2. Enter the Certification Number to give it an ID. This can include letters and special characters.
  3. Click Save.

The name of the certification and ID will appear at the top of each certification record.

  • Below that is the Certification Date and Expiration Date.
  • There is also a Date Renewed in the middle which shows the most recent renewal date, if entered.
  • Under Required CEUs, you will see CEU requirements and progress towards those requirements (credits acquired/credits required). For example, 0.00 / 1.00 means 0 credits out of 1 required.
  • The lower half of the panel shows any CEUs that were added.

CEUs can also be automatically added to the profile through an event.

If a certification requires a CEU type called, for example, Teaching, and the Teaching CEU was added to the lower half of the panel, pay attention to its expiration. If the Teaching CEU expired before the effective date of the certification, the system will consider that, and the CEU credit won't count towards it.

In a different example below, notice the expiration date is in red.

This is a visual cue that the date has now passed.

There are reports that show certification information. Click on the Reports menu and Run a Report. Then click on the Profile Reports branch and Certifications sub-branch.

Editing a Certification

  1. Find and open the profile.
  2. Scroll down to the "Certifications" panel.
  3. Next to the certification, click Edit.
  4. After making the desired changes, click Save.

Renewing a Certification

When you renew a certification, it will re-calculate the expiration date. The renewal date + length of certification type (e.g., 12 months).

When adding a new certification, its expiration is based on the certification date, but when a certification is renewed, it will calculate a new expiration date based on the renewal date. This allows the system to maintain a record of the original certification date.

  1. Find and open the profile.
  2. Scroll down to the "Certifications" panel.
  3. Next to the certification, click Edit.
  4. Enter a Date Renewed.
  5. Click Save.

Deleting a Certification

Exercise caution because this cannot be undone.

  1. Find and open the profile.
  2. Scroll down to the "Certifications" panel.
  3. Next to the certification, click Delete.
  4. Click Delete to confirm.
