Using the Profile Selector to Clean up your Atlas Database

Keeping thousands of Profile Records up to date can sometimes be a daunting challenge. With so many important data points on every record, noticing when data is missing or inaccurate can be difficult.

One method of looking for these issues in bulk is the Profile Selector. By searching and sorting in specific ways, you can quickly identify problem areas. Once you know where they are, fixing them is much easier.

The following list is made up of important searches you can run in the Profile Selector to see which Profiles are missing valuable information. Follow these steps to begin cleaning up your database with the Profile Selector:

  1. Open the Profile Selector by going to Profiles, Select profiles. The Profile Selector will appear.
  2. On the Profile Info tab, run the search Member = True and click Preview. The data grid should fill with all of your Member Profiles.
  • Members without a Main Contact
    Scroll over to find the Main Profile column, and sort by that column to find all members without a main contact entered. Group to see the total count.

  • Member with Active Dues Billing
    Scroll over to find the Annual Dues column, and sort by that column to find all members without an active Dues billing. Group by this column to see the number of members in each billing amount.

  • Members without a Website
    Choose “Website” from the field drop down, set the operator to “Equals,” and click Add, then click Preview.

  • Members without an Email Address
    Remove the Website criteria. Choose “Email” from the field drop down, set the operator to “Equals,” and click Add, then click Preview.

  • Members without a Phone Number
    Remove the Email criteria. Choose “Work Phone” from the field drop down, set the operator to “Equals,” and click Add, then click Preview.

On the Related Profiles tab, click the checkbox “Profiles MUST be the main contact of a member.”

  • Main Contacts without an Email Address
    On the Profile Info tab, choose “Email” from the field drop down, set the operator to “Equals,” and click Add, then click Preview.

  • Main Contacts without a Personal Title
    Remove the Email criteria. Choose “Personal Title” from the field drop down, set the operator to “Equals,” and click Add, then click Preview.

On the Related Profiles tab, click the checkbox “Profiles MUST have a primary relationship to a member.”

  • Related Profiles without an Email Address
    On the Profile Info tab, choose “Email” from the field drop down, set the operator to “Equals,” and click Add, then click Preview.

  • Related Profiles without a Personal Title
    Remove the Email criteria. Choose “Personal Title” from the field drop down, set the operator to “Equals,” and click Add, then click Preview.
